HVAC Estimate Template
Identify the system and location, then separate diagnosis, technician labor, equipment and parts. Add disposal or permit costs only when they apply to the inspected job.
Identify the system and the diagnosed work
Add the service location and a useful unit or system reference. Describe what was inspected and the work included without adding sensitive access information.
Separate labor, equipment and parts
Keep technician time separate from equipment and replacement parts. Add disposal or permit amounts only when you have confirmed that they apply; the template does not determine local requirements or rates.
Explain what could change the estimate
Record equipment availability, access, hidden conditions and excluded work that could require a revision. Use Valid until for the offer expiry, then create an invoice with a separate Due date after acceptance.
Lines included in this starting point
- System diagnosis
- HVAC technician labor
- Equipment and replacement parts
- Disposal or permit cost, if applicable
Replace the examples with the work and prices agreed for the actual job.
Reuse the details that still apply
HVAC invoice template
List the diagnostic visit, technician time and installed parts separately. Add the serviced unit or location so the customer knows what the invoice covers.
